Are you passionate about helping people discover full life in Jesus? WaterWays Vineyard Church is looking for a dedicated Church Administrator to join our team in Trowbridge.

This is more than an administrative role – it's an opportunity to be at the heart of a growing, Spirit-filled community where you'll help create pathways for people to encounter Jesus, grow as disciples, and find their place in God's family.

What you'll do: Support our discipleship journey from first contact to mature faith, manage our communications and welcome processes, oversee church administration, and work alongside a passionate team committed to living out the Father's purposes.

What we're looking for: A strong personal faith in Jesus, experience in church or communications administration, excellent organisational skills, and a heart for seeing people transformed by the Gospel.

The details: 21 hours per week, £14 per hour, permanent contract with flexibility for remote working. Based at Emmanuel's Yard, Church Street, Trowbridge.

Church Administrator Job Description

Job Title: Church Administrator

Location: WaterWays Vineyard Church, Trowbridge, based at Emmanuel’s Yard, Church Street, BA14 8RZ with flexibility for remote working.

REPORTING TO:  Senior Pastors

WORKING WITH: Senior Pastors, Staff Team, Board of Trustees, Ministry Leaders, Volunteers and Church Family.

SALARY: £14 per hour (reviewed annually)

HOURS OF WORK: 21 hours per week including some Sundays (Mid week to include Tuesdays and Wednesdays). Some flexibility will be required, including occasional evenings and weekends, due to the nature of church community life. Opportunities for extra working hours will be made available when the need arises. It will be expected that the post holder will be actively and regularly present in the life of the church.

ANNUAL LEAVE: 25 days plus UK Bank Holidays pro rata

CONTRACT: Permanent

PROBATION PERIOD: 6 months

Job Description:

We are seeking a passionate and dedicated part-time Church Administrator to join our team at WaterWays Vineyard. We are a Bible-based and Holy Spirit-filled church that is part of the Vineyard family of Churches. Based in Trowbridge we have a vision for a regional church across the region.

We are committed to:

Key Responsibilities:

  1. Supporting the vision, values and culture of WWV

  2. Discipleship Administration

    a. Welcome and integrate newcomers into the church community (Discover pathway)

    b. Administer life groups to foster spiritual growth and community (Grow pathway)

    c. Work with Senior Pastor to develop and enhance discipleship pathways that help people journey from first contact to mature faith

    d. Ensure welcome and connection processes work smoothly so no one falls through the gaps

    e. Maintain and update the church database (ChurchSuite) to support effective pastoral care, discipleship tracking, and community connection - including address book, calendars, hubs, rotas, email presets, tags and flows

  3. Discipleship-Focused Communications

    a. Produce communications materials that invites people to encounter Jesus and grow as disciples (website, social media, event publications, printed materials)

    b. Respond to enquiries in ways that help people take their next step towards or within the community

    c. Publish weekly online newsletter highlighting opportunities for people to gather, grow, and serve

    d. Create content that shares stories of transformation and encourages spiritual growth

    e. Schedule social media content that encourages discipleship, community connection, and mission engagement

    f. Maintain website to clearly communicate discipleship pathways and opportunities for spiritual growth

    g. Prepare Sunday notices that inspire people to live as disciples throughout the week

    h. Communicate with ministry teams to coordinate discipleship activities and opportunities

    i. Prepare reports that track discipleship engagement and growth

  4. Finance

    a. Purchase necessary items on behalf of the church and Senior Pastors

    b. Bookkeeping in partnership with our Treasurer (Expenses Plus)

    c. Process invoices and reimbursements as required

    d. Ensure correct records are kept and filed in line with our finance procedures

    e. Ensure all cash offerings are secure in safe

  5. Church and Office Administration

    a. Maintain a central filing system of records (Physical and Digital)

    b. Ensure a safe and clean working environment within the office

    c. Review and implement procedures to ensure clear, efficient and effective office operation

    d. Recruit, develop and manage volunteers for administrative tasks, releasing them to grow as disciples whilst serving

    e. To work with with proactively with SP, Trustees other members of staff, (specifically the operations manager) and volunteers from across the church

    f. Provide basic support for IT queries

    g. Use and develop digital tools in partnership with others, these include: ChurchSuite, Expense Plus, Canva, SquareSpace, Notion, Google Docs and social platforms.

    h. Proactively take care of the building, alongside other members of staff and volunteers, to ensure that the space is ready for services and events.

    i. Contribute to the effective running and development of the church as a discipleship-making community

    j. Undertake any other duties reasonably requested by your Senior Pastors that support the church's mission

Qualifications/person Specification:

a. A strong personal faith in Jesus Christ and a commitment to the teachings of the Bible and rooted in the Holy Spirit

b. Experience in communications administration, preferably in a church environment.

c. Ability to recruit, train, and lead a team of volunteers.

d. Strong communication and interpersonal skills.

e. Excel in digital communication, and social media.

f. A heart for discipleship and a passion for seeing people grow in their faith.

g. Ability to work collaboratively with church leadership and the wider congregation.

h. Discreet, sensitive and able to demonstrate tact and respect for confidentiality

i. Ability to manage pressure and conflicting demands

Other Requirements:

a. Comply with all WaterWays Vineyard operating policies and procedures including Staff Code of Conduct and Staff Handbook

b. Undertake training and personal development to grow in effectiveness and as a disciple

c. Any other duties reasonably requested by the trustees, VCUK & Ireland

d. The appointment is subject to the individual obtaining an enhanced DBS check
